AI voice assistant for HVAC and pool service

When a house loses its heating, the call cannot wait until morning.

The engineer stays with the customer. The phone answers itself.

Your engineers are out on site. Kinetara takes the call. It is an AI voice assistant for heating, cooling and pool service companies: it answers when the team is on site, or when a seasonal peak outnumbers the people on the phones. It recognises an emergency and sends it to the on-call engineer, logs routine work for the morning, and where there is danger it reads out an instruction that is the same every time.

A heating failure is an intervention, not a voicemail.

Your peak is not spread evenly across the year. Heat pump calls come from September to November, air conditioning from May to July, pools in spring and at the end of the season.

Those are exactly the weeks your engineers spend all day on site.

A caller who gets no answer calls the next company on the list; one who leaves a voicemail has no idea whether anyone heard it.

Kinetara takes that part over: which appliance has failed, where the property is and whether the case is urgent - then sends the record by the route you defined, straight to the on-call engineer or into the morning review.

Example of the record the on-call engineer receives

Request type: fault report. Appliance: heat pump, air-to-water. Location: Kranj, Cesta na Klanec 8, detached house. Description: no heating since the afternoon, 10 °C indoors.

Priority: urgent, there is an infant in the household. Contact: Marko Zupan, +386 41 234 567. Time of call: 20:05, outside service hours. Next step: sent to the on-call engineer by SMS and email.

What it looks like in practice

Three calls the way they actually happen

  1. 01

    Heating failure at 20:05

The owner of a house at 10 °C with an infant in it calls. Kinetara acknowledges the urgency, asks for the appliance and the exact location, records the vulnerable occupant and closes the call in under a minute. The on-call engineer gets one SMS report instead of three unconnected calls to a private phone.

  2. 02

The engineer is on site, the phone rings

A customer wants to book an annual heat pump service. Nobody picks up, because the team is in another client's boiler room. Kinetara records the appliance, the location and the preferred week and says the scheduler will confirm. A routine call no longer interrupts an intervention.

  3. 03

Danger sounds the same every time

A customer who can smell gas calls. Whoever is on the line and however late it is, the agent reads out the same safety instruction and ends the call. Where there is danger, predictability is worth more than improvisation.

The examples are composed from typical calls in the sector. The content of our clients' calls is confidential.

Six everyday scenarios in HVAC service

It answers as your service desk's virtual assistant and holds a natural conversation - no menus, no “press 1”, no hold loop.

The first frost and the first heatwave

Call volume doubles within a week while the engineers are on site all day. Kinetara takes calls in parallel, sorts them by urgency and hands you the list the day is worked from.

Heating failure with a child or an elderly person in the house

Kinetara asks about vulnerable occupants and says why it is asking. That is the field the on-call engineer prioritises by. The call is deliberately short.

A leak in the boiler room

The first sentence is the instruction to close the main valve. Only then does data collection begin. The order is written into the rules and does not change with who is calling.

A smell of gas

The agent drops everything, reads out the safety instruction - 112 and the gas distributor, ventilate, do not switch anything on - and ends the call immediately. It collects no data in this case.

Pool season

Opening, closing, green water, filtration that has stopped. Kinetara logs the case and gives no advice on chemistry, chlorine or pH. Phone advice is the single biggest source of dissatisfaction in pool service.

Enquiries about new equipment and subsidies

Someone considering a heat pump calls in the evening. Kinetara records the property, the existing heating and the contact details, with no price and no subsidy figure. Sales receives an enquiry worth more than an average service call.

WHAT REPEATS IN EVERY PROJECT

Four things every service operation gets

  • The line answers even at peak: parallel calls with no queue, first frost included.
  • A structured record instead of a transcript: appliance, location, priority, vulnerable occupant and contact in fields the on-call engineer can work from.
  • Triage and escalation: an emergency goes to the on-call engineer immediately, routine work into the morning review.
  • Languages and security: the agent speaks Slovenian, Croatian, English and German, and data is processed in the European Union.

Rollout

We start with one type of call, not all of them

You keep your telephony and we do not touch your PBX. The agent takes calls outside service hours or when your lines are busy.

Scenarios

We pick three to five call types for the first month - usually fault reports, annual servicing and seasonal pool opening or closing.

Rules

We write down what counts as urgent and what does not, who is on call, and how the report reaches them. This is also where the safety instructions the agent must read verbatim are written.

Pilot

The agent takes calls outside service hours or when your lines are busy. Your telephony stays as it is.

Expansion

We add new-equipment enquiries, engineer-on-the-way notifications and, where useful, records written into your own system.

What we hear most often

Three questions the solution has to survive

What if there is real danger?

For a smell of gas, a water leak and similar cases the agent has a written instruction it reads out verbatim, then ends the call without collecting data. This is not improvisation - it is wording you approve before go-live.

Call and check for yourself →

What if the agent gets the diagnosis wrong?

It does not diagnose. It records the symptom in the caller's own words and does not interpret it - no guessing at causes, no suggested repairs. Your engineer does not arrive to correct a false expectation.

Call and describe a fault →

Will the customer be talking to a robot?

The agent introduces itself as a virtual assistant, and the call is recorded, which the caller is told at the start. In practice what matters is that the line answers and the report exists - not who wrote it down.

BEFORE THE SEASON

Peaks come back every season. Rollout takes about two weeks.

Every season brings a wave of calls nobody is free to answer:

  • the first frost and heating start-up
  • heat pumps from September to November
  • air conditioning from May to July
  • pool opening and closing

Service companies that roll Kinetara out before the peak enter it with an assistant that has been taking their calls for weeks - not with one more open task.

FAQ

Answers for on-call teams and schedulers

Fault reports, annual service bookings, seasonal pool opening and closing, job status enquiries, new-equipment enquiries, and general questions about opening hours.

By rules we write with you. No heating in cold weather, a leak into the building, a smell of gas and a whole property without hot water are urgent; low pressure, cloudy water and a noise without a failure are not. When it is unclear, the agent asks one more question.
